Clarify exactly what is included
An application with bank statements should have a clear package definition. Confirm the number and dates of statement periods, included application fields, delivery format, record age, and whether documents are complete. Ask how missing pages, unreadable files, duplicates, or unrelated accounts are handled under the supplier's written terms.
Verify identity and permission
Make sure the applicant's business and account details correspond and that the contact is authorized to provide the documents. Ask the supplier about collection and sharing permission. A document in a delivery folder is not sufficient evidence that every proposed use is authorized, and it is not a guarantee that the document is authentic.
Protect the documents
Bank statements contain sensitive business and personal information. Limit access to staff who need it, use approved secure transfer and storage, and establish a retention and deletion policy. Do not copy statements into public tools or forward them casually. Follow your organization's legal, security, and funding-partner requirements.
Keep review and approval separate
Statements can support an initial cash-flow review, but an inquiry still needs your normal underwriting process. Confirm current obligations and follow up on unusual or incomplete information. Track the percentage of deliveries that become complete reviews and funded accounts. Do not describe a lead as approved solely because documents were supplied.
